The Department of Marketing welcomes applications for an Administrative Coordinator.
Job Function:
Coordinate all departmental office operations; manage departmental workflow; assist Department Chair, faculty and students in completing departmental, college and university goals.
Minimum Education:
Associate's degree or an additional two years of related experience will be accepted in lieu of an associate's degree.
Minimum Experience:
One through three years of office administration or related experience.
Preferred Experience:
Experience in an academic office; Banner experience; supervisory experience.
Duties and Responsibilities:
- Perform administrative support duties for the Department Chairperson; assist with implementing policies and procedures; prioritize, perform, delegate and supervise workload for department; maintain calendar for the Chair.
- Maintain, monitor and reconcile departmental budgets; includes S&E account pool, student wage expenditures, travel, Foundation accounts and credit card purchases; authorize expenses for office supplies; recommend purchases; input purchase orders; verify receipt of goods; authorize payment of purchase orders; maintain library debit cards.
- Interview, hire, train, supervise, authorize time, and terminate employment of student employees; orient and advise graduate assistants; authorize time for graduate assistants; monitor payroll functions in Kronos for students, graduate assistants, faculty and staff.
- Schedule space for meetings; report issues with equipment and facilities to appropriate departments or support personnel; oversee departmental renovations of space or offices; organize and maintain confidential filing system for the department; handle inventory control requests and maintenance of office equipment.
- Use Banner and various software applications to manage course enrollment, travel, purchasing and other activities for the department.
- Assist students and guests as needed; respond to requests; resolve problems involving students, instructors and university offices; answer phones; receive visitors.
- Maintain and update all information on the department website.
- Perform other related duties as assigned.
- Maintain regular and predictable attendance.
