Job Summary
OSU – Cascades is seeking a Business Operations Assistant. This is a full-time (1.00 FTE), 12-month, professional faculty position.

This position is located in Bend, OR.

The Business Operations Assistant is the facilitator of cohesive operations that thrive under efficient collaboration between Finance, Payroll, Human Resources, and campus partners. With a customer-focus and solutions-oriented approach, this position serves as a hub of information exchange and administrative services involving finance, accounting, payroll, human resources, and administrative units. The Business Operations Assistant is responsible for providing administrative HR and Finance support including search coordination, onboarding, financial reporting, and acting as an HR and finance resource contact for OSU Cascades. Under the general supervision of the Director of Financial Planning & Analysis, this position provides timely and accurate financial reporting by collecting data, updating reports, and interpreting results. This position also assists with disseminating reports to campus stakeholders and facilitating pro-active, transparent communication regarding financial position. Additionally, this position serves as a liaison between human resources, finance, payroll, and administrative units. This position contributes to the success of the organization by demonstrating sound judgment, anticipatory skills, confidentiality, excellent organizational and communication skills, and the ability to succeed in a highly challenging and fast-paced environment. May perform occasional work in support of OSU-Cascades leadership.

OSU-Cascades, located in Bend, Oregon, is a branch campus of Oregon State University. The campus currently enrolls more than 1,300 students in bachelor’s and graduate degree programs. Key Responsibilities
50% – Human Resources Support
Coordinate all aspects of the hiring process.
Communicate search kick off meetings with search chair and committee.
Post-recruitment advertisements.
Schedule candidate interviews.
Arranging candidate travel and campus visit logistics including meals, hotel, parking and group meetings.
Serve as Search support for all searches:
Responsible for performing an initial review of the offer letter
Coordinating internal process for review/approval of offer letter
Sending the offer letter to candidate OR coordinating with UHR if changes are needed
Communicating hires internally and facilitating assignment of equipment and workspace
Scheduling individual meetings for each new employee with various campus representatives on their first day of work. (Safety, Parking/transportation, Operations, IT)
Responsible for collecting and archiving all search related documents per retention policy
Conduct employee onboarding, off boarding, and maintain department personnel files.
Work closely with faculty, the Office of University Human Resources and the Office of International Services to prepare requests for visa documents, including J-1 and H-1 visas.
Communicate human resources policy and procedures to faculty, staff, and students.
Coordinate human resources processes and relevant paperwork for the department including, but not limited to, position changes/updates, timesheets, recruitment, hiring, organizational charts, discipline, assigning, approving, reviewing work, and recommendations for dismissal.
Attend monthly HR and Payroll forums to stay apprised of any changes to existing and/or additions of new policies, procedures, and expectations.
Provide recommendations to the Supervisor on the identification, development and implementation of the rules and procedures related to Human Resources activities.
Initiate and/or assist with actions in HRSD on behalf of administrative unit.
Coordinate flow of information between finance, payroll, and campus partners so that all parties can efficiently and accurately perform duties related to hires and job changes.

45% Budget Administration and Financial Analysis
Collect and format financial data; update monthly budget reports.
Interpret financial reports; suggest corrective actions as needed.
Disseminate reports; schedule budget meetings; obtaining and communicating forecast updates.
Prepare ad hoc financial reports at the request of the Director.

5% Other Duties as Assigned
What You Will Need
A Bachelor’s degree in a relevant field
Two years’ experience providing administrative support to a program or office including scheduling, creating documents, and working with financial data
Detail oriented
Excellent organizational skills
Excellent written and verbal communication skills
Prior experience in a highly challenging and fast-paced environment
Ability to work independently
Excellent computer skills in MS Office applications
Demonstrated experience communicating & working with individuals from various cultures and backgrounds in order to promote and enhance diversity

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
