Essential Job Duties
The Administrative Support Specialist supports NC LIVE, a statewide organization hosted by the NC State University Libraries. In this role you will provide advanced administrative support for a broad variety of functions for the NC LIVE Executive Director, Assistant Director, and other NC LIVE staff.

Key Responsibilities include but are not limited to:

Executive Support:
Managing an active calendar of appointments
Plan and arrange travel for the Executive Director and ensure that travel authorizations and reimbursements are made in accordance with policies and procedures.
Gathers data and generates reports for Directors and staff

Program Support:
Help resolve, refer or triage inquiries as needed.
Composes and prepares communications using thorough knowledge of NC LIVE process and procedures.
Processes incoming and outgoing invoices and payments, ensuring that payments are in line with University and Department policies.
Plan and coordinate events, conferences, program and meetings.

Additionally you will serve as a liaison to the Libraries’ Human Resources and Finance and Business operations.

Qualifications
Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Other Required Qualifications
Knowledge of administrative office support processes and protocol
Demonstrated experience using various office and productivity tools, including word processing, email, web browsers, and spreadsheets or databases
Proven ability to meet high service standards in all interactions (in-person, by telephone, via email or online)
Attention to detail, time-management, and organizational skills
Strong written and oral communication skills; strong grammatical skills and ability to compose, edit, and proofread
Ability to foster an environment of belonging and well-being
Ability to maintain confidentiality
Ability to work independently and in a team environment
Strong problem-solving skills
Ability to interpret and explain a wide variety of policies and procedures, varying from basic to complex, to the public, and to exercise independent judgment
Demonstrated ability to locate, analyze, and interpret data contained in complex online systems
Preferred Qualifications
At least two years of college coursework
