College/Department Information

The Department is composed of a collegial group of 13 full-time faculty members with expertise across a broad spectrum of psychology disciplines and currently operates undergraduate and graduate degree programs.

The Undergraduate program offers a BS, with a Pre-Medicine track option, and a minor. Psychology is one of the largest and fastest growing majors at Augusta University. Many of our graduates go on to graduate study in psychology, counseling, law or medical school and various other graduate programs. Other graduates find employment in various organizations and businesses.

The Master's degree program offers three concentrations: MPCAC accredited Clinical/Counseling, Applied Experimental, and General Experimental.

The Department recently moved to the Pamplin College of Arts, Humanities, and Social Sciences on Augusta University's Summerville campus where we have been provided space to develop laboratories for the study of clinical, cognitive, social, and developmental bases of behavior.

Job Summary

Augusta University's Katherine Reese Pamplin College of Arts, Humanities, and Social Sciences' Department of Psychological Sciences seeks to fill an Administrative Assistant 1 position. We seek individuals who, under general supervision, can provide responsible administrative and secretarial support for the department.

Responsibilities

Administrative & Faculty Support: Provide professional support to the chair and department by answering, screening, and transferring calls. Assist with copying of classroom material and exams, assist students via directing them to the appropriate faculty member. Processing of paperwork to obtain the proper signatures. Provide supervision to graduate students. Update and monitor MOUs for all internships. Coordinate transfer of assets between offices/rooms/other departments/surplus. Maintain IT inventory in the department and in the system. Manage and maintain record keeping for Austa Data Storage. Coordinate faculty hiring paperwork for applications and searches. Create requisitions for ads. ePARs for distribution changes, salary changes, etc. Maintain inventory records for department and Startup Funds. Maintain student files (undergrad & grad). Compile and store all syllabi. Assist faculty with IT requests, classroom changes, and research needs.

Budget and Travel: Coordinate and oversee purchasing for departmental budget, startup funding (multiple faculty and grants). Distribute all purchases. Maintain records of such for review and approval by chair as needed. Enter all budget requisitions in PeopleSoft Financials and manage P-Card for the department. Coordinate with college business manager regarding all budget matters. Manage departmental travel budget. Expedite faculty travel. Create and submit travel requisitions, authorizations, and expense reports.

Graduate Program: Assist Graduate Program Chair with graduate program needs. Monitor Slate system for applicants and assist with graduate program committee with application spreadsheet. Process graduate assistantship offer paperwork. Process graduate assistantship payroll. Work closely with the graduate school on all graduate program aspects. Assist with the coordination of open house/orientations. Create and maintain graduate student files. Plan, coordinate, and assist with graduate program hooding ceremony.

College: As needed, provide administrative support to Pamplin College under the direction of the Administrative Assistant to the Dean or other designee specified by the Dean.

Others: Perform other duties as assigned.

Required Qualifications

High School diploma, GED, or equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.

OR

Associate's degree from an accredited college or university in a related field and a minimum of three years' progressively responsible experience in administrative support positions.

Preferred Qualifications

Knowledge, Skills, & Abilities

KNOWLEDGE

Knowledge and experience in using BANNER, Excel, Peoplesoft HRMS, Peoplesoft Financials, Box, Slate, Crytal reports and Docusign.

Proficient in Microsoft Office and other computer software/databases

SKILLS

Communication skills, organization, ability to multi-task, problem solving, work independently.

Excellent interpersonal, written and verbal communication skills.

Detail-oriented with strong organizational, prioritization and multi-tasking skills

Shift/Salary/Benefits

Shift: M-F/8am-5pm

Pay Grade: 10

Salary: Minimum: $15.00/hour

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
