Job Summary

This position serves as the Administrative Assistant II to the Associate Vice President of Student Success. This position manages the calendar for the AVP and is responsible for assisting in hiring and personnel action processing. The individual oversees the human resources function for Student Success including processing and documentation for full-time employees. This position also provides administrative support to Student Success, Academic Advisement, Career Services, CAPE, and Health Professions Outreach. This position may support division events and AU recruitment events. The individual will be responsible for multiple administrative roles in this division, including day-to-day scheduling, budget tracking, purchasing, and inventory.

Responsibilities

The duties include, but are not limited to:

ADMINISTRATIVE TASKS: Serve as the administrative assistant and office manager for the AVP of Student Success to include tasks such as travel authorizations, expense statements, check requests, P-card statements, personnel hiring/PCF, monthly budget reconciliation, and prepare and process requisitions and correspondence. Schedule meetings, meeting locations, and conference ro
RECEPTION MANAGEMENT: Manage the office or reception area for the AVP of Student Success. Answer telephone calls and greet visitors to the office. Manages equipment inventory and space inventory.

DEPT SUPPORT: Assist and provide administrative and budget support to Student Success offices, including Student Success, Academic Advice, Career Services, CAPE, and Health Professions Outreach. This includes, but is not limited to, monthly reconciliation and keeping the department advised of budget status.

EVENT SUPPORT: Coordinate and collect materials for faculty appointments and coordinate with the Dean's Office of Office of Faculty Affairs as appropriate. Coordinate the generation of various faculty and/or staff lists and statistical data throughout the academic year.

PREPARE MATERIALS FOR PRESENTATION: Prepare materials for presentations such as seminars, conferences, meetings, etc., including handouts, brochures, pamphlets, transparencies, reports, and the like. May assist at seminars, conferences, and meetings as directed.

OTHER DUTIES: Assists in other duties as assigned

Required Qualifications

Associate's degree from an accredited college or university in a related field with four years of progressively responsible experience in administrative support positions OR High School diploma, GED or equivalent from a recognized State or Federal accrediting organization with 7 years of directly applicable experience.

Preferred Qualifications

Bachelor's degree from an accredited college or university is preferred

KNOWLEDGE

Proficient in Microsoft Office and other computer software

SKILLS

Detailed-oriented with strong organizational, prioritization, and collaboration skills

Excellent interpersonal, verbal, and written communication skills

ABILITIES

Ability to maintain confidentiality.

Shift/Salary/Benefits

Shift: Monday- Friday

Pay Grade: 12

Salary: Minimum: $15.06 - Midpoint: $19.58

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
