Position Description
The Division of Medical Sciences educates a diverse community of 750+ PhD students who will become the next generation of biomedical science leaders; advancing knowledge and addressing the emerging challenges of health and human welfare.

Reporting to the Executive Director, the Student and Alumni Engagement Administrator will drive DMS policy and strategic direction to enhance the student and alumni experience. Responsibilities include:


Alumni Engagement
  • Contributes to the development of s strategic operational plans to increase alumni engagement.
  • Leads the design and execution of alumni virtual, in-person and hybrid events as well as the development of alumni committees.
  • Is the primary contact for alumni. Works with internal colleagues to identify alumni to actively contribute to current student training, including serving as a professional development mentor, hosting a student intern, or presenting to current students in various student development training outlets.
  • Creates the alumni communication strategy.
  • Oversees the development and dissemination of content (print, social media and web) that will help engage alumni and meet the strategic goals of the division.
  • Partners with alumni affairs, donor relations and other groups at the University to identify potential donors and develop donor engagement strategies.
  • Prepares stewardship letters for existing donors.
  • Serves as the expert in alumni relations within HMS graduate education by remaining up to date in best practices in the field.
  • Serves as local representative for national conferences on alumni affairs.
  • Maintains regular contact with the student professional development team; alumni affairs and development, and other relevant offices at HMS and Harvard University to coordinate efforts between offices.
  • Analyzes and presents alumni outcomes data for program leadership.
  • Provides data to present at conferences, on program websites, and in grant reports.
  • Responsible for implementing new tools and business process improvements to meet the data reporting needs of the programs.
  • Oversees the management of an alumni database.

Dissertation and Defense Advising
  • Is primarily responsible for coordinating the dissertation process for 120 DMS students a year, which includes advising students at various phases of the dissertation/defense process, corresponding with faculty and dissertation committee members, and implementing administrative systems and procedures for the tracking of student progress and records.
  • Is the primary point of contact with DMS Finance Office, HIO, FAS registrar’s office and GSAS Student Affairs Office to ensure compliance with all university policies for graduates.

Professional Development Training and Policy Development
  • Partners with the Director of Student Development and Training Evaluation to assess current student needs and develop career path programming.
  • Works with alumni, student groups, industry leaders and key faculty members to create opportunities for networking, career exploration and internship experiences.
  • Works with the Executive Director and GSAS to define policies related to student internships and entrepreneurship.
  • Performs special projects and events throughout the year and related duties as required.
  • May train, assign and direct work of support staff, students, LHT’s and temps.
Basic Qualifications
College degree strongly preferred. 3 years of relevant work experience in a higher education environment. Education may count towards experience.
