Summary

The Department of Pediatrics at CHRISTUS Children’s in San Antonio is seeking a highly motivated professional to serve as a Senior Coordinator, Business Operations in the department with primary responsibilities for the business operations and in support of onboarding functions of faculty. The successful candidate will have exceptional communication skills, both written and verbal, be a great team player, have strong and proven organizational skills, and a personal drive to be their best. Must be a self-motivated, self-initiator who is organized, detail oriented, and able to multitask. In addition, they will demonstrate excellent networking, relationship, and conversational skills. The ideal candidate must demonstrate a high degree of flexibility in accepting work assignments with the ability to effectively prioritize tasks, understand processes, and resolve issues. The senior coordinator should be proactive, with a desire to ensure that department goals and objectives are achieved along with possessing strong project management skills, including the ability to prioritize tasks in a fast-paced environment. Candidate will serve as the administrative support to multiple faculty members for the Divisions of Cardiology and Nephrology and primary support for the Department of Pediatrics Chair.

Job Duties

Department of Pediatrics Chair Support
• Processes travel documentation for Department Chair.
• Manages Department Chair’s calendar and coordinates with other internal and external department leaders.
Divisional Support
• Provides administrative assistance to assigned division chiefs which drafting up letters/memos, maintain department files, sending faxes.
• Processes all reimbursements for expenses and travel in Concur for division faculty. 
• Manages Minute-taking and record keeping for faculty meetings/events.
• Manages assigned division chief’s calendars. Scheduling of all recruitment interviews- responsible for scheduling all faculty candidates' interviews, arranging logistics such as travel and lodging.
• Acts as the primary person to manage QGenda scheduling for assigned divisions collaboratively with CHRISTUS Children’s clinical administration teams. Publishes monthly call schedules, ensures faculty time off requests are entered. 
• Maintains and coordinates collection of academic scholarly activity for assigned division faculty.
• May provide additional support to faculty as needed.

Pediatrics Faculty Appointments 
• Assists Senior Manager with managing new faculty appointments using online system.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's or Master’s Degree (in related field of business administration, finance, etc.)
  • Proficiency in Microsoft Office Suite, Excel.
  • Exemplary critical thinking skills.
