What You'll Do
You will work closely with the CIO managing a wide array of tasks including calendar coordination, event logistics, facilitating the hiring processes, ensuring smooth operation of the executive office, and supporting the broader team's collaboration efforts.
You will spearhead the procurement of technology, overseeing the process from purchase to disposition, ensuring policy compliance, budget alignment, detailed record-keeping, and excellent customer service.
In your role, you will also engage in detailed financial oversight, from the monthly review of financials, processing invoices, and first-level expense approvals for the team, to providing reports that assist in the budget process and financial stewardship.
You will assist in the planning and coordination of technology lifecycle replacements including clinics, classrooms, conference rooms, and employee devices.
You will also have the opportunity to lead the coordination of small to medium size departmental projects.
Who We Are
The School of Dentistry (SoD) Dental Informatics IT department is looking for you to join our team. We have an exciting opportunity for an IT Administrative/Project Coordinator. As a key member of our team, reporting directly to the Chief Information Officer (CIO) you'll play a pivotal role for the School of Dentistry. Your diverse responsibilities will include providing comprehensive administrative support to the CIO, facilitating technology procurement, assisting in financial oversight through budgeting and lifecycle planning, and leading the coordination of departmental projects ranging from small to medium in scale. This role offers a unique blend of administrative, financial, and project management tasks, allowing you to contribute significantly to the efficiency and effectiveness of our initiatives. Our organization supports faculty, staff, and students to further SoD's mission areas of teaching and learning, research, healthcare, and administration. We operate numerous health clinics, classrooms, research labs, conference rooms, and a museum, allowing us to support a diverse IT ecosystem. Required Qualifications*
Associate degree, or equivalent combination of education, certification, and/or experience.
At least 3 years of experience in an administrative support role with a focus on scheduling, purchasing, financial management and reconciliation, and project coordination.
Familiarity with financial management systems and specifically procurement processes.
Demonstrated proficiency in organizational and time management skills with the ability to manage multiple tasks and priorities effectively.
Excellent verbal and written communication skills, with the ability to communicate effectively with a wide range of stakeholders, including faculty, staff, students, and vendors.
Ability to prepare clear and concise reports, documentation, and correspondence.
Desired Qualifications*
Experience with Oracle/PeopleSoft Financials, Business Objects, and Project Management software (e.g. MS Project or SmartSheets).
Experience with HIPAA compliance and security regulations in a working environment
