Job Summary:

This position will remain filled as needed based on business needs and event volume, which is currently projected to remain steady or increase during certain months.  The UofL Event and Conference Services team is seeking a Catering & Event Setup Assistant to provide logistical and operational assistance to the Catering Manager in executing all catered events, assist with room setups, and serve as a first point of onsite contact for clients and guests and as a liaison between clients and the Event and Conference Services team (event coordinators, custodial, AV, catering, security). When feasible, the Assistant works the Welcome Center on days when there are multiple, large, or complex events. Under the direction of the Catering Manager, the Assistant may perform some clerical work.

Have a reliable vehicle and a valid driver’s license (will be required to submit documents to obtain and maintain university-approved driver status) and can safely and lawfully operate said vehicle.

Essential Duties and Responsibilities:

  • Check to ensure rooms are unlocked and have been set correctly, based on event specifications

  • Ensure external catering arrives as expected and that setup is underway and assist to process catering paperwork and perform catering check-ins

  • Shop, order and pick up in-house catering food and beverage items.  Assist with prepping, plating and displaying food items for breakfasts and snacks, setting and replenishing coffee and beverage stations, cleaning up, and clearing and refreshing service supplies after events

  • Complete room setups including moving/arranging tables and chairs, setting easels, flipcharts, power cords, etc. and wiping tables

  • Greet client contacts as they arrive; help them load in materials, find their assigned space and ensure they have everything they need. Assist presenters with computer, IT and AV needs

  • Immediately notify other team members of any issues or problems and assist with resolving them to the client’s satisfaction

  • Greet attendees as they arrive and direct them accordingly, answering questions and providing information

  • Create general and directional event signage

This is an intermittent, event-based position with a varied weekly schedule, dependent upon event scheduling and business needs.  The total hours worked weekly could be as few as zero to five or as many as 20 or so, with the average being 10 to 15.  The work hours are typically within the hours of 7:00 AM to 7:00 PM, with occasional hours beyond those times.  This position will remain filled as needed based on business needs and event volume.  The work location is at the Shelby Campus.  The targeted hourly wage is $17.00hr.

Preferred Qualifications:

  • Two years of experience in a customer service-oriented position involving catering, food service and/or hospitality

  • Willing and able to work a flexible schedule based on business and event needs

  • Working knowledge of and experience with basic AV equipment, but training will be provided

  • Professional, reliable, courteous, and outgoing with a positive attitude. Willing to go the extra mile to ensure customer satisfaction

  • Ability to troubleshoot and resolve problems quickly, knowing when to escalate to a supervisor

  • Ability to assist customers with AV needs (computer, projector, microphones, Wi-Fi)

  • Basic proficiency in Microsoft Word and Excel
