Summary

The Program Management Senior Coordinator will support the education mission by working with a diverse group of residents and physicians. We are seeking a highly motivated and competent professional to join our team.

Job Duties

  • Participates in the development of the residency/fellowship program academic and clinical requirements to ensure accreditation standards are maintained.
  • Coordinates all aspects of the resident/fellow interview process including scheduling interview dates, corresponding with potential applicants, confirming meetings and appointments and ensuring applicant credentials are in compliance with current guidelines.
  • Provides administrative support for all residency and fellowship programs, including handling learner inquiries, sorting correspondence, setting up folders, maintaining residency program files in accordance with records retention schedules, assisting in requests for verification of residency training.
  • Establishes and ensures residency program goals and objectives are accomplished.
  • Coordinates with the Graduate Medical Education (GME) office to ensure completion of documents received from ERAS (Electronic Residency Application System) for on-boarding.
  • Follows up with applicants regarding missing credentials in order to expedite the processing of appointments, reappointments. Also monitors licensing requirements.
  • Creates learners' rotation schedules, encompassing vacations, conferences and approved leaves of absence while ensuring compliance within current guidelines.
  • Prepares resident/fellow schedules, which includes didactic lecture series, grand rounds and calendar of events. Corresponds with lecturers and coordinates lecture dates, topics and audiovisual needs.
  • Ensures compliance with departmental policies and procedures and also ensures compliance with all residency program requirements. This includes, submitting duty hour reports to the Graduate Medical Education office, collecting and tracking evaluations of the residents, and fellows.
  • Serves as contact person for the interpretation of policies, operational procedures and residency and fellowship program guidelines.
  • Prepares for Internal Reviews of the program as directed by the GME Office.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

  • Ability to work independently and collaboratively to meet deadlines.
  • Detail-oriented, self-motivated, efficient, and strong organizational skills.
