Job Summary:
The Office of Informatics and Information Technology is looking for an enthusiastic Administrative Assistant to provide administrative support to the Associate Dean for Informatics and Information Technology and coordinate reservations for classrooms and conference rooms utilized by the UW School of Medicine and Public Health (SMPH) and UW Health faculty and staff.

This role is responsible for supporting and organizing meetings for the Associate Dean for informatics and information technology, acting as the subject matter expert in the usage and management of the campus event management software for room reservations, coordinating the scheduling of timetable for classes, departmental teaching conferences, classes, seminars, and meetings for all users of SMPH instructional space and conference rooms, and performing administrative support including procurement of informatics and information technology equipment.

The individual in this position is expected to exercise significant independent initiative, high degree of judgment, and a high level of administrative, problem solving, and analytical abilities. This position supports department-wide systems, projects, and process development. This position requires excellent management and administrative skills, demonstrated organizational skills, exemplary oral and written communication skills and human relations skills are essential. This position will perform a variety of professional and support functions to ensure daily operations are following University policies and procedures, State and Federal policies, and the policies of UW Health and UW Medical Foundation. The incumbent will work effectively, efficiently and, as necessary, diplomatically with a wide range of people across SMPH, UW Health and the UW campus. This position will report to the administrative assistant director for informatics and information technology.

Responsibilities:
Provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities.
25% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
10% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
5% Prepares and audits complex records, edits documents, and reviews work done by others
25% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
15% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
20% Mediates conflicts across events, rooms and users, consistently interprets and implements guidelines and policies to maintain expectations and accountability across all users and managed space
