Position Description

Under general direction and using comprehensive and specialized payroll/accounting knowledge, performs routine payroll activities in support of University financial policies and procedures that may impact more than one University department.

Entering Student Time Sheets to both Banner and to a reconciling Excel spreadsheet. Reach out to departments to clarify entries on time sheets, contact departments to obtain missing time or to approve pending timesheets, and consult with employees regarding the time reported. Ensure to follow step-by-step payroll process is completed accurately, troubleshoot and correct when necessary.

Enter Student Worker Contracts promptly. Establish and maintain all payroll deductions, taxes, and labor distributions for Bi-Weekly Payroll (Semi-monthly or Monthly payroll if directed.) Set up and maintain direct deposit information for employees, including e-mail maintenance for paperless distribution of stubs.

Verify and reconcile gross pay, taxes, and deductions for each payroll run. Determine if retro pay is required, calculate and post both retro pay and any other pay adjustments necessary. Enter tax information from various sources into Excel. Print payroll checks processed through Banner to Evisions. Verify and send a positive pay file to the bank. Verify and send the Direct Deposit file to the bank. Seal for distribution of all checks and direct deposit stubs. Monitor Monthly Payroll outstanding checklist, including follow-up with employees to resolve uncashed checks – minimizing unclaimed submissions. Use Bank software to check for positive pay issues, and make determinations, when appropriate on payment of items. Establish assignments for student employees, as assigned.

Operates independently in prioritizing own workload and that of others in determining how best to accomplish work objectives. Proactive in identifying, following through, and resolving various payroll/accounting issues. When needed will participate in special projects as required. May delegate work to others.

Position Requirements

  • Associate graduate or equivalent
  • Minimum 1-2 years full or part-time payroll experience.
  • Demonstrated basic and advanced mathematical skills and a keen attention to detail, and good organization skills required.
  • Demonstrated effective communication, interpersonal, and problem-solving skills required.
  • Demonstrated ability to retain knowledge and processes as trained and ability to follow direction.
  • Technology/Computer proficiency and a working knowledge of standard office equipment required.
  • Demonstrated effective problem-solving skills and the ability to operate independently, prioritize and organize own work schedule, multi-task, and meet established deadlines, with a high level of speed and accuracy.
  • Good computer skill, preferably experience with Excel, Word, and Adobe Acrobat.
  • Ability to maintain confidentiality required.
  • Ability to work well in small office with others.
  • Demonstrated ability to stay on task and work independently with accuracy and speed, in spite of interruptions.

Position Preferred Qualifications/Experience

  • 2-3 years of related Payroll or accounting experience.
  • Comprehensive knowledge of standard accounting processes, procedures, and bookkeeping highly preferred.
  • Knowledge of Banner and Cognos system.
