Job Summary
The Business Manager 1, in consultation with COEHD leader(s), is responsible for establishing efforts that enhance the flow of the College's business operational activities. This position assists with the management/administrative aspects of the college and has operational control of a range of tasks. This includes, but is not limited to, project development and management initiatives, financial preparation and monitoring, evaluation and improvement of internal operating procedures and business processes and policies, reporting, and management of systems.

Responsibilities
The Duties include, but are not limited to: Executive Level Leadership Advisory Support: Support the Dean in managing broad responsibilities that meet the Colleges teaching, research, and service mission. Ensure operations are in line with the Colleges Strategic plan. Provide in-depth knowledge of AU policies and serve in an advisory role to the Dean. Prepare statistical reports, sensitive documents and manage spreadsheets for the Dean. Plan, coordinate, and manage events, projects, and task forces on behalf of the Dean. Provide advisory support to the Associate Dean for Research and the Associate Dean for Academics and Educator Preparation. Provide budget information and process flows that will allow for the maximization of budgets and timelines. Prove support for existing and new program initiatives that foster growth in the College. Serve as a member of the COEHD Leadership Team and on additional University level committees as required. Supervisor Role: Direct Supervisor to the COEHD Office Coordinator, Dean's Office Administrative Assistant 3, and Coordinator for Communications, Planning, and External Relations. COEHD Business Management: Perform high level decision making and is responsible for overseeing all day-to-day operations for the College of Education and Human Development (COEHD). Position will support all areas of the AU mission (i.e., education, research, and administration) which includes but is not limited to: performing HR functions, monitoring financial activities, ensuring compliance with all institutional policies and procedures and creating efficiencies within divisions. Responsible to create annual budgets for all divisions in the College, complete the budget prep process annually in the spring semester, and maintain all College accounts in good standing. Work with the Communications and External Relations Coordinator to support event budgets, program marketing campaigns, College swag purchases, advertising open positions, printing, and publication needs. Maintain a close working relationship with the Dean's Office Coordinator and provide all needed support in human resource management. Serve as a backup in they are out of the office. Work with the Dean's Office Administrative Assistant 3 to ensure all support needs of the Dean and the COEHD Leadership Team are met in a timely manner. Service as a back-up with they are out of the office. Process Budget Amendments and Cost Transfers, and Journal Corrections to Budget services to maintain College Budgets as required. Create documents and resources for faculty working on grants to support purchasing and hiring requirements. Motivate and mentor staff, facilitate a good working environment. Resolve disputes and grievances, and ensure annual training is complete by required deadlines. Responsible for maintaining Dean's Office staff coverage. Approve weekly and monthly attendance records, in OneUSG for payroll processing. Serve as the IT Security Authority contact for faculty and staff to include requesting computer/application access for all new personnel. Conduct new hire onboarding for faculty, staff, and administrators. Budgetary support - provide oversight and monitoring grant, foundation, and state funds in excessive of 8,000,000. Provides administrative support for multiple funding sources including state appropriations and multiple grant and contract accounts. Approver for Requisitions, P-Card purchases, IDR's, and Check Requests using state or grant funding sources. Maintain strong working relationship with the Office of Internal Audit for all AU business management best practices. Approver for Foundation Check Requests, NSPs, deposits, and Scholarship Awards. Approver for Independent Contractor Agreements. Review account reconciliations for all divisions of the College, to include monitoring supplies, travel, and personnel expenses. Enter appropriate ePARs for salary changes, FTE changes, distribution changes, extra duty pay, FMLA, leave without pay, position funding changes, etc. Prepare necessary invoices and check requests for onboarding and relocation expenses for new faculty members within the division. Liaison for all financial activities in relation to the College such as, contracts, service agreements, staff and faculty educational and professional development, travel, and faculty research efforts. Provide administrative personnel support to both faculty and staff, with emphasis on grant awards which will include creating and monitoring both full and part time positions which will include student assistants, graduate assistants, and work study. Provide staff direction and guidance on AU, College, and department policies, procedures, and tasks. Leading monthly staff meetings with the Dean's Office Coordinator, 3 Department Administrative Assistant 2, the Dean's Office Administrative Assistant 3, and the Communications and External Relations Coordinator. Attend meetings and training sessions as needed at AU (i.e., HR training, town hall meetings, etc.) Review and approve time in OneUSG system for bi-weekly and exempt faculty and staff. Works independently and identifies priorities and courses of action to make the College operate in a more efficient manner. Other: Perform all other job-related duties as assigned.

Required Qualifications

Bachelor's degree from an accredited college or university in Business Administrative or related discipline & Two years administrative and/or management experience.

OR

Associates Degree from an accredited college or university and 3 years administrative and/or management experience.

Preferred Qualifications
Proficient level operator in the OneUSG and People Soft Financial systems at AU. Previous personnel management with multiple units and direct reports. Work with project proposals, grants, and strategic planning.

Knowledge, Skills, & Abilities
KNOWLEDGEKnowledge and direct experience in financial and budgetary practices, fiscal data administration as well as compliance and records management. Proficient in Microsoft Office and other computer software I databased or willingness to learn. SKILLSDetailed oriented with strong critical thinking, customer services, organizational, prioritization, analytical and multi-tasking skills. Demonstrated skills with Foundations account policies and fund management. ABILITIESAbility to work independently and exercise sound judgement. Ability to maintain confidentiality and work with a variety of offices and support units.

Shift/Salary/Benefits
Shift: Day; Monday-Friday 8a-5p (Work outside of the normal business hours may be required)

Pay Grade: 16

Salary Minimum: $41,846/annual to Midpoint: $56,492/annual

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
