Position Summary

Responsible for the scheduling of patients for Radiation Oncology department appointments, including existing patient scheduling, coordination of multidisciplinary appointments with other cancer center departments, and cancellations. Schedules follow up appointment and checks in patients using both EPIC and ARIA electronic medical systems. Answers phone calls and triages calls to the appropriate department specific location or person. Creates patient welcome packets and is responsible for stocking the work area for supplies. Responsible for maintaining and updating quality assurance logs, patient logs, and ARIA tasks and Encounters. Responsible for managing patient wristbands, labels, and scheduling next visit appointments for the CT Simulation visit. Greets patients with a warm welcome and establishes the City of Hope Patient experience.

Key Responsibilities include:

  • Schedules patient for Radiation Oncology department appointments, including existing patient scheduling, coordination of multidisciplinary appointments with other cancer center departments, and cancellations.
  • Schedules follow up appointment and checks in patients using both EPIC and ARIA electronic medical systems.
  • Answers phone calls and triages calls to the appropriate department specific location or person.
  • Receives and manages phone calls from patients and departments regarding patient appointments.
  • Responsible for maintaining and updating quality assurance logs, patient logs, and ARIA tasks and Encounters.
  • Reviews and updates future appointments as directed by therapists and or director.
  • Checks in patients when they arrive for scheduled appointment and alerts clinical staff of patient arrival. Provides patients with wrist bands for identification.
  • Contacts patients as directed who fail to show for scheduled appointments. Re-schedule appointment as directed and indicate reason for cancellation.
  • Creates patient welcome packets and is responsible for stocking the work area for supplies.
  • Responsible for managing patient wristbands, labels, and scheduling next visit appointments for the CT Simulation visit.
  • Greets patients with a warm welcome and establishes the City of Hope Patient experience.
  • Follows established City of Hope and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace Code of Conduct and Compliance Plan. Practices a high level of integrity and honesty in maintaining confidentiality.
  • Performs other related duties as assigned or requested.

Basic education, experience and skills required for consideration:

  • High School or equivalent
  • Two years related experience in health care setting

Preferred education experience and skills:

  • Two years of experience with patient scheduling or unit clerk experience.
