Summary

The Office of Surgical Research (OSR) within the Michael E. DeBakey Department of Surgery is seeking a Manager, Research Administration to manage and oversee pre- and post-award activities. The Manager, Research Administration will be responsible for various administrative, operational, and financial duties required to reach departmental goals and objectives. The Manager, Research Administration will support the Director, Research Operations and Faculty Directors on departmental research initiatives, such as intramural seed funding, Translational and Innovation Research program, INSTINCT Surgical Technology and Innovation program and Data Science program.  The Manager will oversee a team of three research administration professionals.

 

This is an onsite role with potential future working one day a week from home.

Job Duties

  • Supports the Director, Research Operations overseeing the research activities of 12 divisions in the Michael E. DeBakey Department of Surgery, including pre- and post-award management, review of expenditures and fiscal performance, compliance and documentation relative to sponsored agreements submission and management. Addresses issues that impact or delay research contracts execution and subsequent funding (rate) success.
  • Provides guidance and responds timely to requests from faculty seeking to participate in sponsor funded research through coordination of scientific review panel meetings, budget development, internal compliance approval oversight, award set up and management.
  • Submits applications internally (BRAIN) and externally (Sponsor sites).
  • Contributes to the development and review of budgets and budget justifications.
  • Liaison between faculty, OSR, external sponsors, Baylor central offices - proactively follows up on execution, management, and closeout of research agreements.
  • Creates, monitors and tracks documentation of research activities and manages internal scientific review panels, Think Tank, Shark Tank, seed award events, and collaborative research events.
  • Monitors the daily progress of research projects including progress report deadlines and budget expenditures and reporting.
  • Reviews expenditures from fund sources to verify accuracy, need, and compliance.
  • Drafts letters, such as letters of seed awards, letters of support, and creates surveys/applications, polls, forms, etc.
  • Plans and coordinates lectures, evaluations, meetings, rounds, seminars, ceremonies, or special events.
  • Assists the Translational and Innovations Research and INSTINCT program directors and research operations director; including maintaining calendars, scheduling meetings, preparing agendas and meeting minutes.
  • Assists with strategic planning, evaluation and assessment, including data analysis, generating reports, and coordinating quarterly and annual reports requested by internal and external stakeholders.
  • Maintains up-to-date and accurate records and reports of research contracts processed, and monitors research metrics as requested. Tracks the research agreement process through applicable databases and systems and communicates status in a proactive, timely and accurate manner.
  • Optimizes procedures and tools to improve the efficient of OSR research processes.
  • Ensures compliance with all guidelines. 

Minimum Qualifications

  • Bachelor's degree.  Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Four years of relevant experience.
