Job Description

Summary

The Coordinator, Program Management will assist with the administrative functions related to the Hematology-Oncology Fellowship Program. This includes coordinating and scheduling the fellowship recruitment process. Ensuring program compliance by managing Accreditation Council for Graduate Medical Education (ACGME) accreditation requirements, maintaining fellow portfolios, coordinating visiting resident and medical student approvals, on-boarding incoming fellows, fellows financial approvals, and tracking licenses renewals.

Job Duties

  • Coordinates and update the monthly SPOK (online scheduling system) schedule.
  • Manages 4th year fellowship process.
  • Completes the monthly meal plan for night float coverage.
  • Assists with fellowship graduation ceremony and orientation.
  • Provides support to College Fellows.
  • Coordinates calendars for assigned faculty.
  • Serves as administrative support for assigned faculty.
  • Manages Provider scheduling database.
  • Oversees miscellaneous surveys through Survey Monkey.
  • Prepares and send out monthly email notices to fellows.
  • Manages email distribution groups.
  • Coordinates payment approval forms for fellow needs and trip requests. Processes Concur reimbursements and travel arrangements.
  • Performs other administrative tasks as assigned (orders supplies, distributes mail, stocks breakroom, submits coffee orders, oversees conference room scheduling, & submits facilities work orders)

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Bachelor's or Associate's degree.
  • Proficiency in Microsoft Office and Zoom.
  • Willingness to learn and be a team player. 
  • Strong organizational skills.
  • Excellent written and verbal communication skills.
