Responsibilities
Assist the Director of Administrative Support Services, Facility Manager and Biomedical Manager with scheduling daily operations of projects, routine maintenance, preventative maintenance, unscheduled maintenance and repairs. Answer a variety of phone calls, email requests and written requests (lights out, leaky faucets, electrical outlets installed, floor tile, etc.). Provide dispatch via radio for Facility Services and Scientific Instrumentation Services.

Help manage the overall computerized maintenance management system (CMMS). Process service requests and preventative maintenance work orders for tradesmen using the WebTMA software for Facility Service and Scientific Instrumentation Services. Specific duties include but are not limited to: scheduling of preventative maintenance, transmitting preventative maintenance schedules to the appropriately qualified maintenance staff member, ordering parts and equipment as requested for repair, maintenance and installation of new equipment and facilities. Prepare reports using the WebTMA system as requested.

Perform varied support-oriented job duties, often highly complex and of an advanced nature; may serve as a resource to other support personnel; performs support-related duties such as maintaining files, scheduling appointments, managing inventory, typing, preparing reports, conducting correspondence, distributing information, conducting administrative-related research and computation, managing office procedures, and coordinating activities. Provide administrative support to Director of Administrative Support Services, Facility Manager and Biomedical Manager in day-to-day operations, follow-up with vendors for service requests, billing, orders, etc.

Benchmark Accountabilities:
• schedule various appointments ensuring administrative details are completed
• perform file maintenance, appointment scheduling, reception, typing, report preparation
• review and respond to a variety of correspondence as assigned
• assess office procedures and make necessary changes in order to improve office functioning
• assist in the preparation of project budgets; responsible for maintaining budgetary records and expenditures
• assists in preparing regulatory compliance documents; maintain inspection schedules and prepare correspondence and reports as requested

Other duties as assigned.


Qualifications
High school diploma, GED, or equivalent and 3 years of clerical experience. Successful candidates must have excellent computer skills (Microsoft Office Suite), strong initiative, high attention to detail, organizational skills, customer service skills, adaptability, efficiency, and excellent oral and written communication skills. Must be able to meet deadlines, produce high quality work while handling multiple tasks simultaneously, to work independently as well as collaboratively with a diverse group of people, personalities and cultures.
