About This Role:
The College of Veterinary Medicine is seeking applicants for an Executive Assistant. The purpose of this position is to provide direct administrative assistance/support to the Assistant Dean for Administration and Finance (ADAF) and the Associate Dean for Research (ADR).
Duties/Responsibilities
Provide direct administrative assistance/support to the Assistant Dean for Administration and Finance (ADAF) by organizing his/her daily schedule, coordinating travel and lodging arrangements when necessary and exercising good judgment in prioritizing and scheduling to ensure efficient use of the ADAF’s time. Proofread, edit and rewrite documents in order to promote a positive public image of the Department of Administration and Finance.
Represent the ADAF to various groups of individuals requiring the services of the Department (faculty, staff, students, interviewing candidates, University, state and federal government agencies and other University operating units). Ensure a high degree of confidentiality in all matters regarding written reports, electronic communication, and telephone conversations. Serve as resource person for information regarding the Department and University policies to faculty and staff. Review, update and edit certain Administrative and Finance protocols, compile special reports through data mining, and complete annual projects to comply with established deadlines and university/department rules and regulations by collecting and consolidating information from various sources.
Interact with internal and external constituents which requires professionalism and knowledge of topics as it relates to the Administration and Finance areas (Business office, Human Resources, information Technology, Marketing & Communications, Alumni Activities & Events, Security, Facility Projects, Maintenance and Custodial).
Manage the Admin & Finance web site, proposing and implementing changes.
This position is the first point of contact for the Admin & Fin Department. It is imperative that this position works harmoniously with others and has positive interactions with faculty/staff/students.

Coordinate the Veterinary Research Scholars Program (VRSP) activities such as selection of trainees, facilitation of summer workshops and travel and lodging arrangements to the national symposium, and management of day-to-day operations.
Responsible for managing the business office reception area which includes supervising an Office Specialist IV and student employees.
Other projects, assignments, or responsibilities as assigned by the Assistant Dean or Associate Dean.

What You’ll Need to Succeed:
Minimum Qualifications:
Bachelor's degree in accounting, business, or related area.
Five years of relevant experience.
Preferred Qualifications:
Master's Degree in business or organizational leadership; experience managing schedules for high-level administrators and active office operations that include multiple reporting units.
Advanced knowledge of Microsoft Office suite of applications, specifically Outlook and Excel.
Excellent communications skill set and customer service attitude.
