Job Summary
Perform administrative support for the chair and faculty in the Department of Biological Sciences to facilitate our mission of providing excellent instruction and research opportunities to students. The job includes greeting visitors to the department office, preparing and processing paperwork, placing and receiving orders, keeping ledgers for departmental accounts, processing and reporting departmental Pcard purchases, maintaining departmental files, ensuring the office is stocked with supplies, and overall maintain effective organization and management of the departmental office.

Description of Job Duties
Greet and assist departmental walk-in and telephone students, faculty, staff and visitors.

Perform general clerical work, including but not limited to typing, data entry and drafting of letters, filing and envelope stuffing, and word processing forms and reports.

Assist in the completion, submission and maintenance of travel requests, office supplies and inventory.

Assist chairperson in developing class schedules and in scheduling use of classrooms and labs.

Complete and manage paperwork for disbursement of Foundation funds.

Assist in maintaining department records and standards.

Maintain the textbook adoption list.

Assist in student enrollment process.

Receive and route incoming mail to department faculty and staff.

Assist chairperson and faculty with departmental outreach and public relations.

Provide copying and collation services to faculty upon request.

Assist Dean, faculty, and administration in the posting of student job openings on the Bulldog Job Board. Coordinate and screen, as necessary, student job resumes and conduct orientation of new student employee as needed.

Assist departmental faculty as necessary.

Attend and take minutes at faculty meetings.

Education and Experience
One-year experience as an administrative assistant or acceptable equivalent experience or education required.

Strong written, verbal, basic math skills and interpersonal skills are required.

Ability to use office equipment including but not limited to, personal computer, photocopier, scanner, fax machine and multi-extension telephone required.

Efficiency in Microsoft WORD and EXCEL preferred.

Knowledge of office management, bookkeeping and record keeping preferred.
