The Department of Anesthesiology is offering a highly motivated and competent professional the opportunity to serve as a Senior Coordinator in the department Business Office with primary responsibilities for the clinical operations and in support of the credentialing and onboarding functions of faculty. In addition, the incumbent will be responsible for the development and maintenance of marketing and communications materials (including the web site), and insure the smooth operations of the business office. 

The successful candidate will have exceptional communication skills, both written and verbal, be regarded as a team player, have strong and proven organizational skills, and have a personal drive to be their best. Experience working with Epic EHR strongly preferred, plus writing for the web and updating a website; working in an academic medicine environment is an added bonus. 

The Department of Anesthesiology at Baylor College of Medicine is focused on patient care and research in all aspects of the specialty including critical care, postoperative cognitive dysfunction, simulator-based anesthesiology education, obstetric anesthesia and pain management.

This position is located at the Neurosensory Center in the Texas Medical Center. 


Job Purpose

Performs advanced administrative and coordination duties to support effective and efficient operations within the department business office to achieve the Department’s mission and goals in its clinical, education, and research missions.

Job Duties

50% - Clinical Operations Support

  • Develop and report productivity and utilization views using existing data sources
  • Facilitate internal BCM reporting of quality data (e.g. for Chair goals)
  • Review, research and resolve issues from daily Baylor Medicine Epic reports, liaising with the BCM Professional Billing Services (PBS) to resolve billing and provider issues
  • Monitor and source requests for information (e.g. audit requests, compliance)
  • Document departmental processes and their intersection with central campus processes
  • Provide operations support (e.g. Concur) to the Medical Director of the Jamail ASC and McNair Endoscopy Center, and the team there
  • Serve as administrative liaison for the clinical scheduling software of choice
  • Support timekeeping functions in the clinical scheduling software (e.g. QGenda, OpenTempo)
  • Monitor accuracy of data between SuccessFactors and the clinical scheduling software (QGenda)
  • Collaborate with lead faculty schedulers for implementing best practice in the scheduling software, to enable timely and useful reporting from the application
  • Document definitions and coordinate the development and maintenance of policies and procedures for service roles (e.g. administrative days)


30% - Credentialing Support

  • Support the credentialing of new faculty providers and locum tenens / temporary providers
  • Generate case logs
  • Perform other support tasks for credentialing, as needed and assigned


15% - Marketing and Communications

  • Collaborate with faculty and staff of the department to update and maintain the department’s web presence
  • Create web content following Baylor College of Medicine standards and policies
  • Manage updates to the department web site using Baylor College of Medicine web tools


5% - Business Office Coordination

  • Coordinate supply orders
  • Coordinate Facilities, Telecom and IT requests
  • Maintain department listserves, contact lists, etc.
  • Answer department main line, on a rotation basis
Minimum Qualifications
  • High School diploma or GED
  • Four years of relevant experience
Preferred Qualifications
  • Bachelor’s degree
  • Communications and writing experience
  • Epic EHR experience
  • Experience writing web content and making website updates
  • Working in an academic medicine environment
