Summary

With almost 70 faculty members, the Baylor College of Medicine section of Pediatric Cardiology is one of the largest Pediatric Cardiology programs in the nation. The fellowship program is also among the nation's largest and best, currently with 19 core fellows in addition to multiple subspecialty trainees.

Job Purpose

The coordinator works closely with the physician leadership of the fellowship program (Program Director, Associate Program Directors, Chief Fellows) to maintain compliance with local and national regulations, to recruit highly talented trainees, and to innovate and grow the training program for the future.

Job Duties
  • Assists with the day-to-day operations of an education program.
  • Coordinates the trainee recruitment process and on boards new trainees.
  • Serves as liaison for the educational program with Graduate Medical Education (GME), the Accreditation Council for Graduate Medical Education (ACGME), the Texas Medical Board (TMB), internal departments, applicable external agencies, and trainees.
  • Becomes familiar with existing Graduate Medical Education requirements (local and national) and remains up-to-date with ongoing changes and updates.
  • Schedules or coordinates evaluations, meetings, exams, seminars, orientations, electives or special electives, banquets/ceremonies, and other events.
  • Creates, monitors, and tracks documentation of training and educational activities; assist with grade or evaluation collection and submission. Will be responsible for maintaining fellowship data for past trainees and distributing this information when requested.
  • Provides some administrative support to the Program Director and Associate Program Directors (though other support staff will be primarily responsible for this role), and the trainees, including scheduling meetings, organizing and distributing evaluations, ordering supplies, and corresponding with outside agencies, employers, and hospitals.
  • May manage multiple education programs.
Minimum Qualifications
  • Required: High School diploma or GED.
  • Required: Four years of relevant experience.
Preferred Qualifications
  • Preferred: Bachelor's degree
  • Experience with ACGME policies and procedures is highly valued but not required.
  • Experience with college-level GME policies and procedures is highly valued but not required.
  • Experience with MedHub for tracking duty hours and sending/receiving evaluations is highly valued but not required.
  • Experience or interest in basic website maintenance is valued but not required.
Other
  • Basic skill and experience with MS Excel, Word, and PowerPoint are required.
  • Must be a motivated individual who enjoys working with people, especially trainees.
  • Be prepared to learn new skills and procedures as the requirements for medical training evolve over time.
  • Good speaking and writing skills are necessary.
  • Be a problem-solver who can efficiently deal with unexpected or last-minute issues as they inevitably occur.
  • Must have a positive mental attitude and an energetic approach to the workplace.
