Summary

The Program Management Lead acts on behalf of the Dan L Duncan Comprehensive Cancer Center's (DLDCCC) Career Enhancement and Education Program, as directed by the Co-Associate Directors (ADs) of Education, to develop, support, coordinate and document cancer relevant education and career enhancement activities across Baylor as required by the National Cancer Institute.

The position collects, generates, and reports on a variety of data, including existing education resources within the College and DLDCCC. The Program Management Lead will provide support to existing and future programs, including curriculum development, speaker selection and scheduling, advertising, registration, meeting management, and program evaluation. 

This individual must have strong interpersonal and problem solving skills. This position will coordinate efforts between the AD and other DLDCCC faculty as well as education counterparts across campus, including graduate program directors and residency and fellowship program directors. The position will often be the initial point of contact for students, postdoctoral associates, clinical fellows, and junior faculty searching for information to supplement their careers or education plans. 

This position will serve as a subject matter expert in system-wide resources and activity related to career enhancement and education. The Program Management Lead will also draft website content and assist in creating and maintaining data for a comprehensive searchable online repository of career enhancement and education resources relevant to DLDCCC members. As success metrics are identified, the position, under the direction of the ADs, will collect, track, and report on education metrics across DLDCCC programs and other newly formed initiatives. 

Job Purpose

Performs administrative and support functions for one or more education programs, including undergraduate, graduate, residency, fellowship, clerkship, continuing medical education, or other College-affiliated education programs.

Job Duties

Manages the day-to-day operations of one or more education programs.
Ensures programs align with and meet compliance and accreditation guidelines; may provide guidance and leadership in the accreditation process.
Manages trainee recruitment efforts, including marketing the program, screening applications, scheduling interviews, and attending recruiting events.
Oversees strategic planning initiatives and process improvement efforts.
Provides financial management support for the program, including budget development and monitoring, financial analysis, and forecasting.
May perform pre- and post- grant management activities.
May perform human resources support activities.
 

Minimum Qualifications
  • Required: Bachelor's degree.
  • Required: Six years of relevant experience.
Preferred Qualifications

Experience that demonstrates the necessary level of analytical, problem-solving, initiative, judgment, decision-making, organizational and communication skills. 

•    Experience in a combination of program management, event management, education, and/or data management and analysis.
•    Thorough awareness of educational resources, which may include software and platforms such as CACTAS. 
•    Thorough knowledge of data management, documentation methods used in investigating and presenting findings about the program. Skills include statistical analysis of data across databases and systems. Data and reporting skills; ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.
•     Knowledge of health professions education industry, including the university education environment. 
•    Thorough knowledge of administrative analysis and operations research. Demonstrated ability to develop and implement processes and systems. Thorough knowledge of the administrative and operational implications in a program.
•    Demonstrated experience and documented excellence in oral and written communications skills; includes active listening and critical thinking. Ability to interact in a professional, resourceful, and courteous manner with a service-oriented responses.
•    Strong interpersonal skills. 
•    Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to complete work and meet established deadlines in an accurate and timely manner, and to manage short and competing deadlines. Ability to project manage across functional units with differing complexities and processes.
Advanced degree, Master's or PhD, in a related field and experience in medical school, graduate medical education (GME) or biomedical graduate school program administration.
Demonstrated knowledge of Federal funding mechanisms, e.g. the National Institute of Health (NIH), and the National Cancer Institute (NCI).
