Concordia University Chicago invites applicants for the full-time, non-exempt position of Admission Communications Assistant in the Office of Undergraduate Admission. This position is directly responsible for managing the production, printing, and dissemination/mailing of all print and electronic communication for the Office of Undergraduate Admission.

Under the direct supervision of the Admission Communications Manager, this position works to execute the daily undergraduate admission communication plan and serves as a direct back-up to the Admission Communications Manager. In addition to routine mailings and electronic messaging, the position manages and executes special project print and electronic communication based on targeted campaigns that constitute part of the overall undergraduate admission communication plan in collaboration with the Admission Communications Manager. This individual serves as a back-up in the absence of the manager and is fully conversant in the technical requirements of the recruitment communications plans and operations. This individual is fully able to articulate and test improvements and yearly updates related to communications in collaboration with the Admission Communications Manager and IT.

This position is expected to take ownership of assigned tasks with transparency to the Admission Communications Manager and the Assistant Vice President for Enrollment, and to develop expertise in all technologies and tools used for this role. Extensive, on-going cross-training occurs amongst the support team to ensure that all key functions and processing, including that for undergraduate applicants, admitted students, and deposited students, is seamlessly maintained on a daily basis to meet situational demands and deadlines. This position is located in River Forest, IL and reports directly to the Admission Communications Manager.


Performs specific daily tasks related to the planning, creation, editing, production, printing, and overall processing of daily print communication for Undergraduate Admission
Oversees the production, printing, and overall processing of acceptance and welcome packets for Undergraduate Admission, including preparation and production of individual items for both fall and spring admit terms
Directly oversees student work involving mail assembly and delivery of the mail to campus post office
Provides guidance to student employees who process daily mail, assisting with prioritization and oversight of daily work to ensure accuracy and timeliness
Data tracking, database management, data entry, and troubleshooting related to undergraduate admission tools and equipment used in this position
Regularly communicates the count of supplies needed and the count used for daily mail and special project mailing to the Admission Communications Manager and the Manager of Admission Event Planning
Detailed oversight of key print communication pieces including acceptance packets, welcome packets, award letters, award certificates, and other communication to ensure that all items are accurately created, assembled, and sent to new students on a routine, timely basis
Assists with coordination of large volume mailings and printing from external vendors to support the functioning of the undergraduate communication plans
Works collaboratively with other members of the undergraduate staff, as well as the Admission Communications Manager and the Assistant Vice President for Enrollment, to develop electronic communication to targeted student populations
Updates and maintains directions for tasks for this position; Creates directions if new processes or tools are developed; Researches and seeks project opportunities for this position to maximize time and reduce labor
Collaborative oversight of student workers involved in data entry
Substitutes for the Visit Coordinator/Receptionist as needed
Must follow all university policies and FERPA guidelines related to confidentiality of all data and information
Other duties as assigned by the Admission Communications Manager or other unit administrators
Skill Sets:

Must be proficient in Excel and Word; Demonstrable skill with Access is preferred
Excellent written and verbal communication
Appreciation for and commitment to Christian higher education
Ability to work occasional weekends (4-5 Saturdays per calendar year) required
Must work well with a variety of personalities
Must be able to work independently, but is also comfortable in collaborative settings
Demonstrated ability to adapt quickly to change and exhibit flexibility and calm in the workplace
Ability to successfully manage multiple projects of varying priority in a fast-paced, multi-task environment and consistently meet project deadlines
Demonstrated technical skills in the use of student administrative software systems; experience with Ellucian Banner system or a CRM is strongly preferred
Minimum Experience Required:

Experience in higher education admission environment and working with student employees or as a student worker
Project planning experience preferred
