Description of the Job
The Administrative Office Assistant for the Department of Fashion Design + Merchandising will report to the Chair of the department, and will provide administrative support across a wide range of departmental functions to meet the needs of faculty, adjunct faculty, staff and students.


• In concert with program leadership, coordinate departmental communication, including maintenance of Fashion Design & Merchandising ListServs; mail distribution; answering phone calls, directing internal and external inquiries to the appropriate office; drafting communications on behalf of the Chair.
• Respond to a large volume of incoming emails and coordinate appointments and meetings for the Chair and other departmental leadership.
• Support departmental operational and facility needs as well provide administrative support for faculty and adjunct faculty, such as copying tests and other instructional support coordination.
• Coordinate room reservations for meetings and identify appropriate spaces, including restaurants, for events and departmental functions.
• Respond to inquiries from students, faculty, potential students and their families, and assist Admissions with access to department for tours.
• Provide administrative support for departmental student admissions such as answering general questions and other clerical duties as needed.
• Others duties as appropriate.

Required Qualifications
• BA or BFA in a creative field is required.
• Strong organizational skills.
• Strong computer, creative technical skills and ability to use Adobe and other office software.
• Excellent interpersonal skills, including writing, editing, and listening skills.
• Must have a positive attitude, a strong work ethic, and a good sense of humor.
• Must be able to handle confidential information responsibly and appropriately.
• Must be able to understand university, school, and departmental policies and procedures, and be knowledgeable of School/University resources and be able to direct students to the appropriate office for assistance.
• Willingness to be flexible to the changing needs of a busy department, including the likelihood of an occasionally varying schedule based on department events and functions.
• Must be able to work occasional weekends or evenings to support department functions. Appropriate notice will be given for schedule changes.
• Demonstrated experience working in and fostering a diverse faculty, staff, and student environment, or commitment to do so as a faculty member at VCU.

Preferred Qualifications
•• Experience in the field of fashion is preferred.
