School of Liberal Arts Administrative Assistant III

Saint Mary's College invites applications for a part-time, non-exempt Administrative Assistant III position supporting the Center for Writing Across the Curriculum (CWAC) in the School of Liberal Arts, to begin work in January 2020.

Position Responsibilities:

The Administrative Assistant supports the Director of the Center for Writing Across the Curriculum (CWAC) to manage operations so that the Director, Associate Director, Writing Circle instructors, and student Writing Advisers may efficiently provide services to students and faculty.

Responsibilities include:

SCHEDULING: coordinate student work schedules; help the Director and Associate Director schedule Writing Circles, workshops, and other services

RECORDS and DISCRETION: process and maintain confidential records

DATA and PROJECTS: create and maintain databases, surveys and reports

PROMOTION: prepare promotional material for office hours, schedules, and special events; edit and help create content for the CWAC website

EVENTS: organize logistics for events including budgets, space reservations, catering, and media services; assist with staff conference travel arrangements

OFFICE: maintain office equipment and purchase supplies;

BUDGET: plan and process expenditures and reimbursements; monitor spending to stay within the CWAC budget; manage student payroll, time reporting, and timesheets; and prepare regular budget updates for the Director

• RECEPTION: manage the front desk for CWAC operations

Position Requirements: The position requires organizational skills, the ability to prioritize, initiate, and follow-up, resourcefulness, problem solving, confidentiality, and attention to detail. The position also requires a high level of communication and interpersonal skills and the ability to act independently on assignments that are varied and complex.

Successful candidates will demonstrate the ability to work in a highly collaborative and culturally diverse environment; to develop effective relationships within the Center and across the school and other areas of the College; to participate in campus events and attend workshops and meetings consistent with professional development to meet the changing demands of the position; and to contribute to the mission of the College, which is informed, animated, and expressed through the Catholic, Lasallian, and Liberal Arts traditions.

PLEASE NOTE: The position requires a reasonable and consistent part-time work schedule of at least three days per week during the academic year - either approximately 22.25 hours per week for 11 months per year, or approximately 24.5 hours per week for 10 months per year. Exact schedule to be determined with selected candidate.
