Position Overview

Office Mission:
The Office of International Admissions (IA) serves to promote the presence of the University of Kansas abroad, enhance international student enrollment and retention. Staff members identify and work with prospective students through recruitment activities both abroad and within the U.S. and armchair recruitment including digital marketing, communication campaigns and virtual outreach throughout every stage of the enrollment funnel, process all incoming international undergraduate applications, make admit/deny decisions, and create and maintain official university records for this student population. All positions within the office have both an admission and recruitment function. Each position has a primary focus of either recruitment or admissions, but consistently overlaps in these areas to implement all international admission and recruitment processes as a whole.

Position Overview
This Education Program Specialist is independently responsible for the evaluation process and academic admission decisions for international undergraduate applicants applying to the suite of academic accelerator programs (AAP). The position engages in applicant file review, the academic credentials evaluation process, calculation of GPAs, the determination of transfer credit equivalencies and other aspects involved in the academic admission decisions of international undergraduate applicants to the AAP programs. The Specialist liaises with AAP personnel involved in the application assembly and transmission and creates, updates and maintains data in the ADMIT and PeopleSoft systems required for the record maintenance for international undergraduate applicants. Duties also include providing support for standard entry application processing, assistance to the key staff charged with oversight of these responsibilities (primarily to the Education Program Coordinator – Transfer Evaluation)n and supervision of student employees. The position also provides services to e-mail, walk-in and phone clients; handles office e-mail and postal correspondence as needed; provides general clerical assistance to facilitate the smooth processing of admission applications; and serves as the principal IA contact for the Shorelight Boston Office and AAP admissions teams.

Job Description

Responsibilities and Percent of Time

Admission Processing, Evaluation and Decision Making (40%)
Downloads AAP online applications for admission and starts student files;
Uploads AAP files & materials into the CollegeNet ADMIT system;
Codes/enters applications from on-line in the CollegeNet online application forms that load into the ADMIT and PeopleSoft/Oracle Enroll & Pay systems;
Is independently responsible for the evaluation process and academic admission decisions for international undergraduate applicants;
Determines need for verification, then confirms authenticity of academic documents;
Calculates GPA's converting to 4.0 scale as needed;
Reviews accreditation/recognition status of international institutions;
Completes forms to document decision process;
Performs conversions to US dollars for bank statements in non-US currencies, as needed;
Routes records with transfer work to international credential evaluator;
Places/releases enrollment holds on applicants.
Assists with processing standard entry applications, as needed.
Research, evaluation and reporting of transfer credit equivalencies for KU international undergraduate coursework (20%)
Enters evaluated courses for AAP students into the PeopleSoft student records system and works with the Transfer Credit team to monitor the download into the CredTran transfer equivalency system;
Provides information to prospective and enrolled AAP students regarding admissions policies and procedures and the transfer of academic credit;
Serves as primary support person to Transfer Coordinator for the evaluation of international transcripts for transfer credit, preparation of evaluation reports, and posting of evaluation reports into students’ records in ADMIT.
Completes curriculum and course detail research to ensure appropriate transfer credit determinations.
Duties include providing assistance to the key staff charged with oversight of these duties, primarily the Education Program Coordinator for Transfer Credit.
Recruitment/Communication/Public Relations/Information Dissemination (20%)
Supports the international recruitment and admissions mission;
Responds to KUAAP & Shorelight Boston Office staff and student inquiries concerning admission requirements/procedures, information about the University, specific degree programs, transfer credit, and enrollment;
Maintains contact with students, the Shorelight Boston Office and KUAAP admissions staff or third party designees throughout admission process and makes referrals to other campus offices;
Corresponds with students, the Shorelight Boston Office and KUAAP admissions staff, third party designees, government offices, foreign ministries of education, US Consulates and Embassies, foreign secondary and post-secondary institutions and educational agents;
Assists in management of departmental e-mail account;
Provides reception assistance to the office (e.g. phone, reception and mail)
Serves as primary IA contact for the Shorelight Boston Office and KUAAP admissions team.
