Job Summary
This position serve as the administrative assistant for the Vice President, Communications & Marketing, the Assistant to the Vice President, Communications & Marketing, and the Communications and Marketing team. This position manages the calendar and meetings schedule for the Vice President; handles administrative work such as personnel action processing, travel authorizations, expense submissions, budget reconciliation, purchasing requisitions, invoicing, P-card reconciliation, and managing office supplies, equipment and computer inventory; and assists with Communications and Marketing team assessments toward strategic goals and department initiatives.

Responsibilities
The duties include, but are not limited to:

Administrative Duties - Serves as the administrative assistant to the VP, Communications & Marketing, Assistant to the VP, Communications & Marketing, and the Communication & Marketing team. Manages the VP's calendar, including meetings and travel. Researches and collects necessary paperwork and documentation for the division to accomplish administrative tasks. Maintains and protects all confidential verbal and written communication.

Budget and Finance - Prepares check requests and PCFs, performs monthly budget and P-Card reconciliation, handles purchase requisitions and correspondence, P-card reconciliation, expenses and invoices. Reviews encumbrance report weekly to receive orders in the system.

Office Management - Manages the office reception area for the department of Communications & Marketing. Answers telephone calls and greets visitors to the office. Manages equipment, supplies and computer inventory.

Support - Provides support for department campus events set-up. Assists with the team assessments toward strategic goals and department initiatives.

Duties Assigned - Other duties as assigned.

Required Qualifications
A Bachelor's Degree and 2 years of progressively responsible administrative support experience.
OR
An Associate's degree and 5 years of directly applicable experience.
OR
A High School Diploma/GED and 8 years of directly applicable experience.

Preferred Qualifications
Bachelor degree in related field; Exemplary interpersonal skills and the ability to maintain a professional work environment. Ability to manage multiple project & business processes.

Shift/Salary/Benefits
Shift: Days; Monday-Friday
Pay Grade: 13
Salary: Minimum $16.19/hour - $21.85/hour
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
