The Division of Diversity, Equity, and Inclusion (DEI) is looking for an Administrative/Financial Coordinator to join our team. The Administrative/Financial Coordinator position provides professional administrative and financial support to the Division of DEI. The Division includes the Accessibility and Disability Resource Center (ADRC), The TRIO Center, and the Office’s of Diversity, Equity, and Inclusion and Central  DEI.

Duties:

  • Responsible for budgeting, planning, and forecasting for the division of DEI, as well as the departments reporting up to DEI.
  • Coordinates, creates, and manages all departmental account budgets including university, grants and OU Foundation funds in coordination with VP and area directors
  • Provides DEI staff with support on all financial, HR, payroll, procurement and travel matters, which requires an understanding of policies and procedures surrounding these areas.
  • Serves as the liaison to Shared Business Services Center (SBSC) for coordination of financial, payroll, HR, and travel transactions
  • Reviews and approves transactions entered by the SBSC
  • Reviews monthly financial reports, monitoring expenses to ensure expenditures are in-line with budget
  • Acts as the human resources coordinator for the department 
  • Maintains confidential records
  • Assists with the development, implementation, and interpretation of departmental policies and procedures, ensuring compliance with federal, state and university policies and regulations
  • Serves as the departmental liaison with other departments across campus, as well as the community
  • Performs various duties as needed to successfully fulfill the function of the position
 

Job Requirements

Required: Bachelor's degree in Accounting, Finance, Business, Management, or related field.

Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree.

  • Ability to work with diverse populations, and an ability to work a flexible schedule when necessary
  • Proficient in Microsoft Office and other productivity software
  • Detailed oriented for accuracy of data and information
  • Strong critical thinking skills
  • General office skills
  • Must be able to create and deliver effective training presentations
  • Knowledge of budgetary processes
  • Excellent oral and written communication
  • Strong Excel skills including the ability to build and manipulate spreadsheets
  • Highly organized and able to handle multiple projects and deadlines
  • Advanced computer skills with wide knowledge of business software

Preferences: 

  • Experience in payroll, finance or administrative support 
  • OU or higher education experience
  • Highly organized and able to manage multiple projects and deadlines
  • Supervisory experience
  • Ability and desire to perform a number of different types of tasks throughout a given day, ranging from handling of urgent requests to long-term planning and office administration
  • Excellent office management skills
  • Critical thinking skills, including an aptitude to research, collect, and analyze data and prepare reports or responses to inquires
  • Welcoming and caring demeanor when interfacing with students, alumni, and other staff and colleagues on campus
  • Ability to learn new systems and processes
  • Willingness to work closely with supervisor and other departments across campus to manage work and solve problems

Supervision:

  • Some students and provides support to divisional staff
