Responsibilities
Reporting to the Director of Study Abroad and under the guidance of the January Term Director, the Study Abroad Coordnator will provide advising support to students who are interested in or applying for study abroad or January Term Travel opportunities. The Study Abroad Coordinator will also act as a vital resource to the offices they support. This position will manage social media websites and the marketing of study and travel abroad opportunities at Saint Mary's as well as plan and implement events to increase participation of students in education abroad opportunities.

Junior Advisor for Study Abroad Semester & Year-Long Programs:

• Provides secondary and/or follow up advising to students who are applying for study abroad programs
• Creates and monitors queries and reports in Terra Dotta to ensure students are meeting deadlines and are submiting complete applications
• Conducts outreach to students to gather documents and other required documentation for the study abroad application
• Assists with developing and delivering pre-departure orientation, study abroad fairs, re-entry workshops, information sessions, and other events related to marketing study abroad to students
• Creates and maintains electronic student files with application and other important documents
• Under the guidance of their direct supervisor, liaises with other departments on campus as necessary

Coordinator for Faculty-Led Travel Programs:
• Under the guidance of the January Term Director, develops and manages the application process for all January Term Travel courses for faculty proposals and student applications
• Advises and guides faculty and students on the application process, required documentation, and deadlines
• In collaboration with the January Term Director and the January Term Committee, reviews student applications and makes approval decisions, and enters decisions in Terra Dotta
• Under the direction of the January Term Director, manages budgetary processes for January Term Travel courses before, during, and after the courses end
• Liaises between January Term Travel faculty and other relevant departments on campus to communicate relevant tasks, timelines, and information, Business Office requirements, and final travel course itineraries
• Edits and updates information for January Term Travel Faculty Workshops, website, and other presentations
• Assists in developing and delivering pre-departure orientation for students, the January Term Travel Fair, and faculty information sessions
• Under the guidance of the January Term Director, develops and manages the January Term Scholarship for students as well as advise students on the application process and deadlines
• Creates and maintains electronic student files with application and other important documentaion
• Maintains and updates contracts with vendors in collaboration with the Business Office

Social Media Marketing & Events Manager:

• Manages the social media accounts for the Center for International Programs and January Term Travel
• Creates digital content (flyers, online event calendar, social media posts, etc.) to market and promote various travel opportunities and events on campus
• Collaborates in growing awareness for travel opportunities and events on campus and increase student engagement through the use of social media branding
• Responsible for posting printed flyers and tabling at various events to promote travel opportunities and events on campus
• Responsible for coordinating various events for the Center for International Programs including planning, booking space on campus, ordering food, marketing to students, staff and faculty

Terra Dotta Representative:

• Troubleshoots with students, staff, and faculty on login issues and navigating the software and answering questions related to usage of the software
• Creates and implements informational workshops for various audiences around campus
• Under that direction of their direct supervisor, updates and/or maintains the Terra Dotta software as needed

Other Duties as Assigned:

• Under the guidance of their direct supervisor and/or the January Term Director, complete other projects or tasks as needed to advance the missions of the Center for International Programs and/or January Term Travel

Experience and Qualifications
QUALIFICATIONS:

Education: REQUIRED: Bachelor's PREFERRED: N/A

Experience: (years required and applicable field of experience): Experience working in a professional setting with experience working in an academic setting is preferred. Applicants with experience studying, teaching, traveling or living abroad are encouraged to apply.

Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical) Experience with Microsoft & Google Suites is required. Strong email, verbal, and presentation skills are highly desired. Familiarity with a variety of social media platforms such as Instagram, Facebook, and TikTok. Experience with Photoshop and/or photo editing software is desired.

Licenses & Certifications (e.g. CPA, RN, etc.): REQUIRED: N/A PREFERRED: N/A

Other Requirements: (e.g. travel, weekend/evening work) Occasional travel to professional development conferences; and some weekend and evening work.
