Position Description
Under the direction of the Assistant Director of Certificate Programs, Postgraduate Medical Education (PGME), this individual will work with Education Managers on the curriculum and student management of assigned blended learning programs and assist with all aspects of curriculum production and student management.

Main areas of responsibility:
  • Work with Education Managers to manage 3, 6- or 12-month longitudinal, blended-learning (online and in-person) programs.
  • Serves as primary course coordinator, planning and scheduling webinars, coordinating content with the Education Team, and acting as liaison for internal and external constituencies, including students, faculty, teaching assistants, and administration.
  • Work with Program and other Shared Services, to manage the workshop curriculum and materials production for new and existing programs.

Enrollment Management:
  • Works with Admissions Coordinator in the daily and long-term planning of admissions and registration for assigned programs; sends welcome letters to enrolled learners and assists in onboarding learners to programs.

Curriculum Delivery:
  • Works with Education Managers and program faculty to update course curriculum, including material for online lectures, webinars, workshops and assignments.
  • Tracks development of schedules and educational materials for the workshops; distributes materials to participants and advises participants regarding materials they must purchase and/or prepare in advance.
  • Facilitates delivery of curriculum to workshop participants and coordinates with on-site hosts and Operations Manager to ensure success.
  • Maintains online library and scheduling of curriculum materials including assignments; coordinates preparation of on-line course material and prepares materials for uploading to the courses' websites.
  • Manages and processes honoraria for lectures and instructional services and prepares necessary paperwork for payment on a timely basis.
  • Works with Education Managers to modify and update online curriculum as needed throughout the course.
  • Prepares materials for uploading and ensures they are available to all students and faculty on a timely basis.
  • Manages systems for monitoring student progress and engagement; supports distribution of students' certificates upon successful completion of the program in coordination with operations team.
  • Interacts with students from various sites globally, answering and/or triaging questions, coordinating requests for telephone meetings and/or Zoom meetings and updating them on their status with academic and attendance requirements.
  • Coordinates regular webinars and web-based office hours for students in various time zones with faculty in Boston; ensures that all technical questions are answered and that each student is able to access webinars and office hours; ensures that webinars are recorded and uploaded to the learning management system, Canvas.
  • Serves as primary webinar facilitator.
  • Prepares, distributes, and compiles online satisfaction and learning surveys for each workshop and the courses in general.
  • Assists in identifying key areas for improvement and recommends appropriate changes.

Student Support:
  • Serves as primary student contact after program acceptance.
  • Ensures continuity of experiences; meet with international students to troubleshoot/advise on program questions; prepares letters of enrollment, workshop attendance, verification letters for students.

General Support:
  • Work with Education Team to ensure that all webinars and workshops are staffed.
  • Participates in other activities and completes other projects as directed.
Basic Qualifications
  • 4+ year's related experience required. Education beyond high school may count toward experience.
  • MS Office Suite programs are a must.
Additional Qualifications and Skills
  • Bachelor's degree preferred.
  • The successful candidate will have customer services skills; cultural sensitivity; highly organized.
Additional Information
Must be able to periodically work in-person and overtime hours (early mornings, nights and/or weekends) to support programs.

This position will be based in Boston. Due to the COVID-19 pandemic, you will begin your work remotely. All remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). The fully remote nature of this job is only temporary. Once the University and your supervisor determine that it is appropriate, in-person on- campus work will be required as a condition of continued employment. This department actively supports some remote work (within a state in which Harvard is registered to do business) where business and team needs allow. Individual flexible and remote work options for this role will be discussed during the interview process. *Note: Harvard employees working in California must be exempt.
