The Manager of Events and Continuing Legal Education works closely with the Director of Communications and Events, and other administrators to provide leadership, management, and execution of all special events and continuing education programs for the OU College of Law.

Duties:

Events

  • Manage College of Law Master Event Calendar.
  • Plan and coordinate all special events, e.g., seated dinners/luncheons, awards banquets, receptions, alumni reunions, symposia, conferences, board meetings, and graduation.
  • Provides logistical support including event schedules, booking venues, food and beverage requirements and managing participant registration.
  • Arranges lodging and travel.
  • Work with College departments to develop programming for events.
  • Serve as a primary liaison for external events held at the College of Law.
  • Serve as a liaison with OU Marketing and Communications to ensure University guidelines for events are followed.
  • Manage the online payment system for all College paid events.
  • Assists with budget planning and cost estimates.
Continuing Legal Education
  • Obtain CLE approval and oversee requirements for any CLE activity. 
  • Serve as the liaison to the Oklahoma Bar Association as well as the MCLE accrediting organizations for other state bar associations.
  • Responsible for all duties and responsibilities related to annual events, including Kuntz Conference on Natural Resources Law and Policy, Order of the Owl, graduation, etc.
  • Oversee the Kuntz Conference Planning Committee and works with conference presenters to ensure their materials meet CLE guidelines in all accredited states.
  • Work with the OU Foundation and the College of Law's Alumni Affairs team to coordinate events for donors and alumni.  
Communications
  • Work with Communications and Events team to ensure all event projects are in alignment with the overall mission of the College of Law and serve to promote OU Law’s excellence to the world at large. 
  • Use email marketing platform to design, schedule, and send electronic invitations and newsletters.
  • Create webpages for events and CLE conferences and draft other content for the website, also assist in creating content for social media.
  • Provide occasional event photography and videography for use on social media and website.
  • Performs various duties as needed to successfully fulfill the function of the position.

Job Requirements

Required Education: Bachelor Degree or equivalent combination of education/job related experience, AND:

  • 12 months experience in event planning and coordination, outreach or public relations.

Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 60 months experience.

 

Skills:

  • Proficient in Microsoft Office
  • Highly organized and able to handle multiple projects and deadlines
  • Strong oral, written, and interpersonal communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Knowledge and understanding of meeting and event planning principles, requirements, procedures, and available resources.
  • Computer and research skills.
  • Proven ability to thrive in a fast-paced and dynamic work environment.
  • Exceptional attention to detail and superior customer service skills.
  • Ability and knowledge to manage both for-credit and non-credit CLE events.
  • Demonstrated ability to establish priorities, meet deadlines, and make procedural decisions and judgments.
  • Knowledge of budgeting processes and ability to effectively oversee budgets.
  • Ability/knowledge to manage large conferences and credit/non-credit programs.

Certifications:

  • Valid drivers license required to attend recruiting and conference events.

Working Conditions:

  • Physical: Ability to engage in repetitive motions. Ability to communicate verbally in order to express oneself and exchange detailed information with others. Ability to lift up to 50 lbs.
  • Environmental: Frequent exposure to pressure caused by deadlines and busy periods. Requires contact with other departments and university officials. May be required to travel.
Departmental Preferences:
  • Experience with basic web editing
  • Experience with Social Tables
  • Familiar with Qualtrics
  • Email marketing software experience
  • Intermediate user of Adobe Creative Suite software
  • Professional social media experience including post and image creation and analytic reporting
  • Salesforce experience
Supervision:  1-5 staff
