The Director of Operations position aims to advance and support the vision of Oklahoma Rowing. They will serve as a point of contact for all internal and external stakeholders and university members working with Oklahoma Rowing. This position will work directly with the head rowing coach to manage and oversee day-to-day operations of The University of Oklahoma rowing program.

Essential Functions: 

Overarching:

  • Support the head coach in the coordination, organization, and guidance of the OU Rowing Team
  • Facilitate a high-level student athlete experience 
  • Facilitate the coaches’ focus on all things coaching and recruiting
  • Demonstrate a thorough knowledge of and comply with applicable NCAA, Conference, University and Departmental rules and regulations

Communication/Correspondence:  

  • Correspond internally and externally on behalf of the program  
  • Point of contact for student-athletes 
  • Bring a sense of excellent customer service in correspondence and support
  • Prepare routine and recurring correspondence on behalf of the coaching staff  
  • Donor and alumni engagement 
  • Schedule and organize conference and non-conference competitions 
  • Compliance liaison for head coach control 

Database, Systems, Management:  

  • Budget preparation and management 
  • Purchasing point of contact 
  • Ensure processing and payments of invoices for the program
  • Maintain filing systems, databases, and records  
  • Management of computer system operations such as CONCUR, ACS, Teamworks
  • Maintain and input time management plan using Teamworks  
    • Prepare and record form responses using Teamworks  

Travel: 

  • Attend all home and away competitions, unless otherwise arranged
  • Manage all team travel operations 
  • Coordinate, schedule and be point of contact to travel vendors  
  • Collect all receipts from travel expenses  
  • Manage reimbursements and expense reports after all away travel for all staff

Race Day and Events: 

  • Responsible for local event team specific management  
  • Provide customer service to donors and VIPs at regattas 
  • Manage complimentary tickets for student athletes, staff and special requests  

Miscellaneous:

  • Run various office errands/deliver items as requested  
  • Coordinate with other departments on various special projects  
  • Potential Summer Camps Administration  
  • Support in team equipment logistics (ordering, delivery, storage, embroidery etc.)
  • Assist with special projects relating to team activities or tone setting
  • Responsible for building and serving our alumni network and organizing our annual alumni event
  • Develop and schedule Community Service programs for our program and student athletes.
  • Oversee security, maintenance, and space allocation with department’s physical environment.
  • Assist with on campus recruiting including but not limited to transportation, hosting, and scheduling
  • Compile, package, and mail all recruiting materials
 

Job Requirements

Required Education: Bachelor Degree AND

  • 12 months of collegiate experience in assigned sport or closely related experience.
 Equivalency/Substitution: Will accept 48 months in lieu of the Bachelor's degree.

Skills:

  • Prior project management experience in collegiate athletics or a related field
  • Advanced knowledge of Word, Excel, PowerPoint, and calendar software
  • Ability to respect confidentiality and practice discretion
  • Excellent communication (oral and written) skills
  • Ability to effectively engage and present to a wide variety of constituents, both internally and externally
  • Strong organizational and interpersonal skills
  • Willingness to work flexible hours, including nights and weekends. 
  • Able to multi-task in a fast-paced environment 
  • Detail-oriented

Advertised Physical Requirements:

  • Must be able to climb, crouch, reach, stand, engage in repetitive motions, speak, including expressing oneself or exchanging information with others; see, including color, depth perception and clarity, and hear including receiving detailed information orally.

Departmental Preferences:

  • Knowledge of Big 12 and NCAA workings and compliance, compliance with their regulations

Certifications: 

  • Drivers license required in order to transport equipment and staff to competition sites.
