Job Summary:

This Functional Analyst position is the lead analyst for Admissions Counseling and Recruitment. The analyst will test, recommend, implement, document, maintain, and analyze processes, data and software applications specific to student recruitment and admissions. The position will serve as liaison between the Information Resources Management, Information Technology department and appropriate college departments to help maximize effectiveness with programs, systems, solutions, processes and reports that meet the admissions and recruitment needs and goals of the college. The position will develop and implement best practices within the system, configure, test and troubleshoot issues and upgrades, track, monitor and analyze the system to determine functionality, and ensure the system functions properly at all times. This position will provide support in compliance with local, federal, and State regulations, as well as college policies, procedures and ensure data standards.

Duties, Roles & Responsibilities:
1.) Review new software systems and upgrades support and release documentation and recommend implementation prioritization.
2.) Test, and implement new software or releases through set-up in test environments, ensuring that operating
parameters and user expectations are met prior to installation in the production environment.
3.) Convert designs and specifications into computer requirements, compile code into programs and correct errors detected in the compile process. Create test transactions and simulated operational situations; find errors and processing problems, and make corrections.
4.) Document tested code and procedures per industry standards. Document changes, updates or enhancements to software.
5.) Identify issues and changes, recommend and develop training protocol and documentation, train staff on testing processes, assist with User Acceptance Training, and address remaining end-user needs with IT.

PROCESS ANALYSIS/IMPLEMENTATION
The position creates, maintains and tests workflows that support the recruitment/communication plans and territories. Position ensures targets are getting the appropriate messages and outreach assignments including phone calls, emails, direct mail pieces and other recruitment communications – to ensure the college is seen in the best light.
1.) Study business processes and collaborate with functional users in order to gain a complete understanding of current procedures.
2.) Document, analyze and/or model current processes
3.) Identify and recommend projects to improve the effectiveness of those processes.
4.) Where appropriate, develop tools, scripts and other electronic processes to supplant manual activity.
5.) Document and/or model desired future state/process.
6.) Research, design, develop, and enhance documentation and materials needed to train staff in procedures.
7.) Provide for end user training as appropriate.

SOFTWARE ANALYSIS/IMPLEMENTATION
The position exists to serve as the primary expert for the Recruitment CRM and will lead and oversee the management of prospective student data and outreach, change coordination, upgrade management, testing and implementation, data input/processing, report writing/pulling, and ensure data methodologies.
1.) Collaborate with functional users and Information Technology Administrative Services (ITAS) to analyze functionality of student information systems such as Recruit, Ellucian Banner, Workday, Student Access, etc.
2.) Identify and implement software functionality not currently in use.
3.) Elicit and understand the business requirements of stakeholders using interviews, document analysis, requirements workshops, business process modeling, task and workflow analysis, and other methodologies.
4.) Perform analyses of user requirements relative to software system capabilities in order to meet end user requirements.
5.) Design technical solutions to resolve business problems
6.) Transfer knowledge of business requirements to ITAS and ensure they are accurately translated into system developments
7.) Identify and develop system changes and implement, standardize and/or enhance workflow
8.) Design, install, code, and troubleshoot simple to more complex software applications.
9.) Research, design, develop and enhance documentation and materials needed to train staff in procedures, modifications, customizations and maintenance requirements.
10.) Provide for end user training as appropriate.

DATA REPORTING AND ANALYSIS
Position will write, maintain and interpret reports and provide information and data to the Executive Director monthly and will ensure appropriate terms and information are updated on the application(s).
1.) Create data blocks, queries, and reports using Recruit, Workday, Argos or other appropriate reporting tool to extract data from such disparate systems as Ellucian Banner, Recruit and Workday.
2.) Extract and analyze data to track students in and assess effectiveness of recruitment and admissions efforts. Access existing or derivative data available, design new studies or methodologies when existing data will not suffice. Identify patterns, trends, and correlations in effectiveness of recruitment and retention programs and student success.
3.) Create dashboards and reports for Executive Director and team as needed.
4.) Communicate findings in user-friendly method.
Develop and present thoughtful and comprehensive executive summaries, generate complete reports with charts, diagrams, and other results appropriate to effective and correct interpretation and data analysis.
5.) Create ad-hoc queries and reports as needed
using such tools as Argos, and PL/SQL.

OTHER TECHNOLOGY SUPPORT
1.) Provide initial, high-level trouble-shooting, and determine appropriate referral and escalation if necessary (i.e. referral to Help Desk call ticket or escalation to vendor support).
2.) Utilize Ellucian hub and other software appropriate help centers to answer functional questions regarding system issues, process improvement and system efficiencies. Monitor Banner forum from an end user perspective to recommend work process improvements or identify issues that might affect workflow, institutional requirements, institutional policies, and/or student communications.
3.) Coordinate with IT dept. to provide student information system and network access for end users in division.
Maintain professional and technical knowledge by attending educational workshops and conferences, reviewing professional publications and establishing personal networks.

Functional Attributes of Job Duty
Minimum Qualifications
Applicants must be currently authorized to work in the United States on a part/full-time basis.

1.) Bachelor’s Degree in relevant field plus three (3) years experience in business/systems/functional analysis or equivalent combination of education and/or experience.
2.) Knowledge of basic Computer Science concepts and current
computer programming languages.
4.) Experience in supporting and configuring a CRM, testing patches, writing scripts, documenting procedures and modifications.
5.) Experience with business process review and analysis and project management.
6.) Advanced knowledge in the use of the Microsoft Office Suite, particularly with Word and Excel.
7.) Excellent communication (written and verbal), organizational and interpersonal skills.
8.) Ability to work effectively with others as well as independently; detail oriented and analytical
9.) Ability to maintain confidentiality

7.) Experience working in Higher Education
8.) Bachelor’s degree in computer science, business, or related field
