The Associate Director of Foundation Relations reports directly to the Assistant Vice President for Foundation Relations and is responsible for assisting with the development and maintenance of the overall voice and polish of foundation relations materials, and oversees the Foundation’s communications, grants, and some principal giving communications. This person will help develop and implement strategies for foundation relations including solicitations, prospect research, and prospect management. The Associate Director of Foundation Relations will work closely with Foundation Relations leadership, the constituent strategies team and marketing-acquisition team, ensuring synergy in a variety of subject areas.


Job Duties


  • Partner with the Assistant Vice President of Foundation Relations in the production and timeliness of Foundation content (including but not limited to major gift proposals, stewardship reports, strategic communications, executive speeches and talking points, presentations, and other content). Assist in 30 submissions to foundations, including proposals and letters of intent.
  • Perform Foundation Grant program targeting through the identification of private sector grant funding prospects and the development and preparation of grant submissions. Associate Director will be responsible for managing a master prospect log that will allow our office to generate over 100 opportunities to faculty throughout BCM.
  • Perform detailed research and detailed foundation prospect research on a variety of industry topics, as directed by Assistant Vice President of Foundation Relations. Create at least 10 new prospect research lists for individual faculty members. Works with prospect research to develop a strong and continuous donor pool.
  • Support the Assistant Vice President of Foundation Relations in the oversight and activation of a foundation-giving program, including but not limited to prospect cultivation and engagement, portfolio management, collateral development, and strategy design and execution. This also includes the management of prospect research database which holds over 500 foundation opportunities.
  • Lead off-site/in-person external foundation conversations as appropriate. Work with volunteers (i.e. board, partnership, etc.) to identify, cultivate, and solicit foundation and corporate foundation prospects.
  • Review Foundation materials for adherence to organizational voice and standards; ensure polish and professional products (copyediting).
  • Document all donor related activities using Raiser’s Edge donor system.
  • Support the Foundation marketing and acquisition team, including but not limited to social media activity.
  • Assist Major Giving team and other Foundation teams with audio/visual requests as needed.
  • Marketing and Social Media Responsibilities.
  • Assist other department staff as needed, including ghost email development.

Minimum Qualifications

Education: Required: Bachelor’s degree in a related field.

Experience: Required: Two years of relevant experience


  • Skill in composing letters, memos, articles, proposals, and other written communications (copy writing skills welcome).
  • Effective communication and interpersonal skills required. Experience communicating with community stakeholders required.
  • Must be familiar with various software packages (i.e. Word, Excel, PowerPoint, Raiser’s Edge, InDesign, Photoshop).
  • Ability to work with highly confidential materials.
  • Demonstrated personal initiative and team player with a positive attitude and professional appearance.
  • Ability to maintain professional composure in stressful situations.
  • Must reflect the values of the Foundation at all times, with particular emphasis on teamwork, collaboration, integrity, and honesty.
